The Dispensary Assistant Manager reporting directly to the Dispensary Manager, is responsible for assisting in managing all daily operations of a dispensary, leading a customer-centric team and providing clear direction to achieve company goals. Additionally, the Dispensary Assistant Manager implements and maintains the policies and company procedures and ensures compliance with all state and local laws and regulations. Responsibilities include but are not limited to:
Policies, Procedures & Daily Operations
Daily balancing of cash and product inventory, and training leadership team on cash and product inventory reconciliation;
Observe and participate in customer service on sales floor, including dispensary agent productivity and customer engagement;
Audit Communication Binder for current information and updates;
Maintain compliance of all local and state regulations.
Maintain accountability of all team members, in relation to specific job description.
Uphold all company policies and procedures.
Provide Dispensary Manager with feedback on inventory levels and dispensary sales on a weekly basis.
Ensure that all dispensary agents maintain proper recordkeeping such cash handling records chain of custody documents and waste disposal logs;
Responsible for all vault and inventory operations.
Implements cash and inventory controls.
Training & Development
Interview, recommend and is influential in hiring decisions of Sales Leads and Dispensary Agents;
Involved in performance counseling/management of Sales Leads and Dispensary Agents, up to and including termination;
Assist in training and development to ensure all dispensary agents greet customers with a helpful, pleasant and compassionate attitude; making every interaction a positive experience;
Train and develop all dispensary agents to ensure proficiency in inventory management, point of sale (POS) platform and CCC tracking systems;
Ensuring that all team members are trained and current on product knowledge and proper dosage;
Ensuring that all team members are maintaining current company policies and procedures as well as all state and local laws and regulations;
Attend weekly touch bases with Dispensary Manager to discuss short term objectives/action items and long-term strategic goals;
Assist in training of quarterly DOR program for management team;
Review and update customer educational materials;
Participating in weekly management team meetings;
Participating in quarterly dispensary team meetings;
Implement Responsible Vendor Program.
Review sales daily and best practices to achieve goals, with team members.
Ensure that all team members are trained on customer services, including product knowledge and proper dosage
Conduct 1 minute meetings, at the start of every shift, to ensure consistency in message and goals.
Assess management team skills to lead the floor, as well as delegate tasks and drive sales.
Ensure that all supply orders are submitted to Accounting in a timely manner.
Deliver excellent, and compassionate customer services.
Developing customer loyalty and retention.
Be a company brand ambassador and train team members to represent the brand appropriately;
Implement and participate in community outreach program, building relationships with community leaders and trust from our neighbors.
Follow and implement company core values;
Fostering a highly motivated, energetic team environment.
Implement company marketing strategies.
Controlling & Preventing Loss
Ensure that all team members are proficient in cash balancing and product protection.
Conduct random audits of cash and/or product, using audit checklist.
Review security procedures and protocols with leadership team.
Review incident reporting, with management team.
Responsible weekly product inventory.
Ensure daily balancing or cash and product are being done according to CCC and company policies.
Review Loss Prevention (LP) procedures with team on a quarterly basis.
Qualifications and Education
Must be 21 years old.
3-5 years experience in retail management, managing a diverse team.
College degree, preferred.
Must possess a valid driver’s license and reliable transportation.
Experience in retail, hospitality or customer services, preferred.
Excellent verbal and written communication skills
Basic math skills.
Ability to work in a team environment
Experienced in a fast paced, high transaction environment.
Having good organizational skills.
Having decision making skills.
Being analytical, detail oriented and proactive.
Physical and Environmental Requirements
Ability to work a minimum of 8 hours a day and rotating shifts;
Flexible schedule availability including nights, weekends and holidays;
Ability to stand for extended periods of time;
Ability and willingness to work in the following conditions:
General office environment;
Extended computer usage;
Extended phone usage including teleconferences, and
Work environments that include exposure to, but not limited to, fumes, dust, odors, heights, indoor AC, no AC, motion, and noise.
